Many of us fear expressing our thanks to others. We might worry that our efforts will be misinterpreted or make the person on the receiving end uncomfortable. Or we might struggle to find the right words to express how we feel. Here’s how to do it right.

  • Keep it genuine : The goal of expressing appreciation should be to let someone know how their actions have impacted you and/or others. If you have any other agenda, your message will not be authentic.
  • Share what you appreciate and why : Focus on the impact their actions had on you and explain both  what you appreciate and why . This will help the other person understand the reason you feel the way you do.
  • Send it : E-mails get lost and handwritten cards get saved. Write your message on a piece of paper, post-it note, or card and give it directly to the person. If you are at work, you can also leave it on their desk or in their “mailbox.”

Before diving into thank you note etiquette, let’s begin our thank you writing journey with the general breakdown of a thank you note anatomy. This applies to most thank you notes, regardless of the reason that you’re writing it. Here are 5 steps you can take when writing your thank you notes.

1. start with a salutation..

It may seem obvious, but generally you’ll want to start your thank you message by addressing your recipient with a salutation. How formal or informal you choose to make this should depend on a few factors. 

If you’re well acquainted with your recipient and it’s not a formal thank you card (like a business interaction) then you may be fine addressing them by their first name. For example, if you’re writing to your college roommate to thank them for all the great memories — it’s likely safe to use their first name. 

For people you’re not quite as familiar with, stick to Mr. and Mrs. Last name.

2. Get right to the point and express your thanks.

And while you’re at it, make sure to mention what it is that you’re thankful for.

  • Thanks so much for your generous wedding gift.
  • Thank you for the opportunity to interview for the senior designer position.

3. Mention a specific detail or two.

What specifically, do you love about their gift? No need to go overboard or exaggerate, if it’s not the greatest pair of sunglasses you ever did see… don’t say so. However, do mention something specific that you appreciated or perhaps how you’re using their gift in your life. People love knowing that their time and effort was appreciated and used!

  • I’m so stoked to use the birthday money on my trip to California next week!
  • I wore your graphic tee today and got a bunch of compliments!
  • We’ve been smoothie-making machines for the past month; we are feeling great.
  • It was really exciting getting to know your organization and learning about the senior designer role.

4. Look ahead.

Sure you’re excited about that smoothie mixer they got you, but don’t forget to let them know that you appreciate them as an important person in your life. This may not apply to every single scenario, but if you’re likely to spend any time with this person you can mention that future meeting in your note as a way to move the message along. 

  • I can’t wait to have lunch with you guys next month.
  • I’ll be visiting your neck of the woods in a couple months, can’t wait to come and see you!
  • We’d love to have you over for dinner sometime soon and use the new martini glasses with you!
  • I am sincerely interested in the position and am looking forward to hearing from you soon.

5. Wrap it up with more gratitude and a warm sign off.

Bring the attention back to where you started: to your gratitude. There should be no question about what the message is all about. It’s ok to spruce it up a bit, but try to stay away from over-the-top language.

  • Thanks again for thinking of me, it means so much.
  • We are so grateful for your generosity, thank you for thinking of us.
  • I greatly appreciate your consideration.

End in a pleasant and friendly tone. Always keep in mind the type of relationship you have with the recipient(s) and sign off accordingly (professionally or casually).

Who should you write thank you notes to?

How do you know when sending a thank you card is appropriate and who should you write thank you notes to? This question is actually not as tricky as it sounds. Whenever someone has done something nice for you like presenting you with a gift or going out of their way to help you, it’s definitely worth writing them a thank you card. No, sending a thank you text message is most definitely not the same thing. 

Of course there are actual occasions when thank you notes are basically expected, but huge life changing events are not the only time a thank you note is called for. Who to send a baby shower thank you card to?

  • The baby shower hostess . Your first shower thank you should be addressed to the hostess. Hosting a shower requires a great deal of time and effort.

  • Step 3: Comment on your relationship with the person who did the favor for you.
  • Step 4: Thank them again, or, if applicable, offer to reciprocate the favor in the future.

Example 1 : “Thank you for letting me borrow your car last Tuesday. Mine is still in the auto repair shop, and without your help, I wouldn’t have been able to get to my job interview on time. I’m really lucky to have you for a neighbor. Call me if you ever need to borrow my car.”

Example 2 : “Thank you for helping me clean up after the party last Saturday. It would have taken me all night to wash all those dishes alone, but with your help it got done in no time. Thank you for being such a wonderful friend. I hope that I can return the favor if you ever need it.”

Example 3 : “I want to thank you for your hospitality in letting me stay at your house last weekend. I especially enjoyed the chess games we played together each night after dinner—I’ll have to teach my daughters how to play now! It was a delight to see you and your family again. You’re always welcome to stay with us if your work brings you to California.”

How Should I Write a Thank You Letter for a Customer or a Client?

If someone hired you for work or bought one of your products or services, here’s how you can use the four steps:

  • Step 1: Thank them for the specific product or service that they purchased from your business.
  • Step 2: Add a specific detail about your business.
  • Step 3: Tell them how much their business and patronage means to you.
  • Step 4: Thank them again, or give them an offer of support or a promotional deal.

Example 1 : “Thank you for trusting Haircut Emporium to cut and style your hair. It’s our mission to help every client feel confident and beautiful and we’re happy we can do that for you. We look forward to seeing you again. As a token of appreciation, we’re enclosing a coupon for 15% off your next haircut.”

Example 2 : “We want to thank you for choosing Ollivanders to provide you with your wand. We’re proud to have serviced some of the finest witches and wizards of the century. Your continued support and patronage means a lot to us. If you have any questions about our wands or services, send us an owl and we’d be happy to assist you.”

Example 3 : “I want you to know how much we enjoy serving your catering needs. We love catering special events and it was a pleasure to serve you this time. Your wedding was absolutely beautiful and we were happy to see the guests enjoying our food. Once again, thank you for your business.”

You can send a thank you note if a teacher, employer, or colleague wrote you a recommendation letter or referred you for a position during your job search.

Here’s how you can use the four steps in this situation:

  • Step 1: Thank them for the referral or recommendation.
  • Step 2: Tell them what the outcome of the referral or recommendation has been and what you hope that will mean for your career.
  • Step 3: Express your appreciation for their role in your professional journey.

Example 1 : “Thank you for taking the time to write me a letter of recommendation for my application to law school. It’s my dream to become a criminal defense lawyer, and I couldn’t achieve that dream without your help. You’ve been a wonderful professor to all of your students, and I deeply appreciate your help and support. I’ll inform you of the results as soon as I hear back from the law schools I’ve applied to.”

Example 2 : “I can’t thank you enough for referring my services as a babysitter. Thanks to your referral letter, I’ve been hired by a wonderful family with two little girls. I will miss your family very much. Tell the kids I say hi.”

It’s good practice to send a thank you letter to your hiring manager after a job interview.

  • Step 1: Thank them for the job interview.
  • Step 2: Tell them what you learned from the interview.
  • Step 3: Express your appreciation for the company culture, or something else that makes you excited to work here.
  • Step 4: Thank them again, and mention that you’re looking forward to the next step.

Example 1 : “Thank you for taking the time to interview me for the open position at your firm. I learned a lot about the industry from our job interview, and I feel confident that I could do well in this type of career. I enjoy the company culture and look forward to hearing your hiring decision. Thanks again for your help with my job search, and I hope to be working with you soon.”

Example 2 : “I want to thank you for inviting me to your office today. It was great to hear about the company’s goals for bringing new value to customers. Your company seems like a wonderful place to work, and I’m very excited about the opportunity to work with your team. Please let me know if there’s anything else you need from me to move the process forward.”

Your sign-off depends on the recipient of your thank you note.

Many people say "thank you" using text messages or chat these days, but nothing beats writing an old-fashioned thank you letter. It's a meaningful way to express gratitude when you received a gift or where the recipient of someone's thoughtful action. Address your letter warmly and make it personal and sincere.

Composing the Letter

Step 1 Open with a salutation.

  • "Dearest __,"
  • "My friend,"
  • "To my favorite _____,"

Step 2 Express your gratitude sincerely.

  • "Thank you so much for the darling pair of leggings you gave to Leigh!"
  • "You are such a dear for coming to my opening night."
  • "I am very grateful for your assistance with my senior project this semester."
  • "Without you, I wouldn't be the student, or person, that I am today."

Step 3 Let them know why their specific gift is cherished.

  • "She has been begging me for a pair of leggings lately! They fit her just right, and she has a red dress that matches them perfectly. They'll be put to good use this winter."
  • "You are such a dear for coming to my opening night. It made me happy to see your bright smile in the audience. Knowing you were there helped calm my stage fright."
  • "I am very grateful for your assistance with my senior project this semester. You have a lot of students depending on you, and I really appreciate your taking the time to give me so much individual attention."
  • "You did not have to take the time to mentor and meet with me -- most people wouldn't -- but your passion and patience has left an impact on me that I will never wear out.

Step 4 Inquire after the other person or share a little news.

  • "It was fun to catch up with you at the party. How are things going with Bobby's soccer team? He has natural talent, that boy. Leigh has been asking about him every day. We can't wait to see you this Christmas."
  • "Will you be returning to New York again soon? Next time, I want to take you to dinner at my favorite spot. It'll be nice to have a full-length conversation, rather than rushing to catch up backstage!"
  • "I wish you the best with your research this summer, and look forward to seeing you at the NSTA conference in the fall."
  • "Best of luck with your new responsibilities and projects. I'm eagerly awaiting the chance to see what you do next, and to keep learning from you from afar."

Step 5 Let them know you appreciate them one last time.

  • "Friends like you are the best part of this town, and I'm looking forward to the day we can sit down together and catch up."
  • "Your support throughout my career shows just how incredible of a friend you are. Your warmth, generosity, and kindness mean the world to me."
  • "You give the college a good name, and embody everything I love about my school. I hope I can one day pay it forward to students of my own."
  • "Anytime you want to talk, collaborate, or share a cup of coffee, you know where to find me. A conversation with you is something I could never turn down."

Step 6 Close the letter.

  • To a loved one: Love, Much love, Hugs and Kisses, All my love, Yours,
  • To a friend: Cheers, Thanks again, Warmly, See you soon, Many thanks,
  • To a colleague: Sincerely, Gratefully yours, Respectfully yours, Best wishes

Choosing Your Format

Step 1 Either handwrite it or type it.

  • If you choose to handwrite it, use a pen with black or blue ink. Write in either print or cursive, as long as your writing is legible.
  • If you choose to type it, use a font that's easy to read, like Times New Roman or Arial. This is especially necessary if you're writing a thank you letter to a professional colleague. [9] X Research source

Step 2 Pick out nice stationery or a card.

  • If you go with stationery, it doesn't have to be fancy. Look for heavier-weight paper made with cotton or another high-quality material. It's fine to use stationery with a design or your initials.
  • Packs of thank you cards are sold in stationery shops and drug stores. Consider getting more than one so you'll have cards on hand for next time.

Step 3 Make it professional or keep it casual.

  • For example, if you're sending a thank-you note to your boss, and the workplace setting is pretty formal, you might want to choose high-quality business stationery, type the letter and format it according to the standards for a professional business letter .
  • If the note is for a friend, you can show a little more personality. Write your note on a funny postcard, or make your own cool stationery.

Step 4 Know when it's appropriate to send an email.

  • However, if you need to thank someone for giving you an actual gift or for dedicating a significant amount of time toward helping you, it's better to send a real letter. People realize that it takes effort to write and mail a letter, and that extra time will be appreciated.
  • If you send an email, it should be as well composed and thoughtful as a regular letter would be. In fact, you might want to take even more time making sure it's well written, since you're not going to the trouble of sending it by snail mail.

Following Thank-You Letter Etiquette

Step 1 Match the length of the letter to the size of the gift.

  • For example, if someone bought you a $100 wedding present, in addition to flying to your wedding and taking time off work to attend, they deserve a full-blown thank you letter on nice paper or a big thank you card.
  • On the other hand, if you were the recipient of a $5 Secret Santa stocking stuffer, a short, quick note will do.

Step 2 Start halfway down the card if you want.

  • Of course, take the above rule regarding the length of the letter into account. If the recipient deserves a two-page letter, you'd better match the length to the size of the gift and fill up the entire card.

Step 3 Send it promptly.

  • That said, it's never too late to send a thank you note. Even if you send it months later, out of the blue, it's better than never sending one at all. If you wait this long, though, make it a good, long letter!

Handwritten thank you notes are like sending a hug through the mail. They have personality and character, attributes a computer screen will never have. Let me show you why, when, and how to write a thank-you note.

How to Write a Thank You Note

Need some quick advice? Here are the nine steps to write a handwritten card or thank-you note. Read on for a thorough guide!

How to Write a Thank You Note

  • Use nice paper or a card.
  • Find a pen with ink that doesn't bleed or smear.
  • Begin, “Dear __________,” (insert person's name).
  • In the first sentence say, “Thank you,” and what you are thankful for.
  • Write at least one sentence of appreciation for the act of kindness or gift.
  • Say something nice about the giver .
  • Write your closer, such as Regards, Sincerely, All my best .
  • Sign your name.
  • You don't have to put your address on the inside of the card.

Why You Should Write a Thank You Note

It is easier and quicker to send a text message, an email, or a voice message to say “thank you.” However, if the purpose of the thank-you message is to convey your deepest, most sincere gratitude, taking the time to carefully write a message by your own hand, and not your admin assistant's hand, will mean more to the recipient than an instant media message.

When was the last time you wrote a thank-you note? A real thank-you note on a piece of paper that goes into an envelope with an address written on it and a stamp stuck in the upper right-hand corner?

Was it in response to a generous birthday gift? For graduation gifts? After your wedding? A special occasion or dinner party? What about after a job interview with a hiring manager as a part of the hiring process?

A simple thank you can go a long way to express your appreciation for people, no matter who the intended recipient may be.

What Is a Thank You Note?

A thank you note is a short informal written message of thanks to another person for a specific action. Thank you notes are brief, often no more than five sentences, but they can leave a long-lasting positive impact.

The key word is brief. We are not talking about the changes in currency prices or the bird call of a Painted Bunting here. If you want to write about your summer activities or about how many litter boxes you have, write a handwritten letter instead.

Why You Should Send a Thank You Note:

  • You should send a thank-you note because my mother said it is a good idea.
  • To connect with another person.
  • Send a thank-you note because you want to say thank you.
  • The biggest reason to send a thank-you note is because you are a kind, considerate person. And you always want your friends and acquaintances to know how much you appreciate them.
  • Because you are thoughtful.

Before you begin, make sure you have all of the following on hand:

  • Notecards or stationery.
  • An address.
  • A few minutes of your time.

9 Steps to Write a Thank You Note

Writing a thank-you note might sound intimidating, but it is actually quite simple when you follow these nine steps.

1. Use nice paper or a card.

What is nice? Hmmm . . . a standard piece of printer paper, eight and a half by eleven, and an envelope are nice and acceptable. Personal stationery or a plain set of notecards is also nice.

What is not nice paper? A piece of paper ripped out of a notebook with a coffee stain on it, the back of your grocery list, or the back of a power bill would not be considered nice stationery.

2. Use a pen.

Your best choice is one with ink that doesn't bleed or smear.

3. Begin “Dear __________,” (insert person's name).

Check the spelling of the person's name. If Margaret wants to be called Margaret, don't call her Maggie. At least Maggie is not named after a non-stick spray like my name.

If you are on a first-name basis, call the person by their first name. If you don't know the person very well, or they are “The Big Cheese” in a company, use Mr., Ms., or use the full name.

Keep the salutation polite and friendly. “Yo” or “Hey” or “What's up?” might work with your college roommate, but it is a bit casual for a business or professional thank you note. And don't “Hey” your great aunt. Address the card “Dear Aunt Margaret,” not “What's up, Maggie?”

Sigh, I am being a bit bossy. Who am I to tell you what to call your Aunt Margaret?

Only you know your relationship with your dear aunt. Please address the card in the same manner you talk to her. Which I hope is always polite and respectable.

4. The first sentence should have the words “thank you” in it.

And say what you are thankful for. Be specific.

Thank you for the beautiful sweater. Thank you for introducing me to your editor. Thank you for being the best friend I had in grade school. Thank you for being the best mommy in the world. Thank you for cleaning my seven litter boxes. (I can dream. Right?)

5. Write at least one sentence about how much you appreciate the gift.

Thank them for their gift of ten kittens, or tell them how much their act of kindness meant to you. This sentence makes the note more personal.

6. Say something nice about the giver.

For example, tell them you are looking forward to seeing them the next time you are in New Orleans. Or tell them how you wished you lived closer so you could help them shovel their driveway.

7. Write your closer, such as Regards, Sincerely, All my best.

These are all polite and not too informal. “Chow baby” is too informal, and “chow” is actually spelled “ciao.” Don't use the word “love” unless you actually love the person. Signing an email “xo” might give the recipient the wrong idea (unless you're romantically involved!).

8. Sign your name.

Use legible handwriting. This is not a prescription; it is a thank you card. Recipients should not have a difficult time reading the signature.

9. You don't have to put your address on the inside of the card.

Remember, this is not a letter, it is a note. Please put your return address on the envelope. Write clearly.

When to Send a Thank You Note

Not sure when a thank-you note is appropriate? Here are six times to send a thank-you note:

1. When you receive a present.

Whether the present comes in the mail or in person, remember to send a note of gratitude in response. This includes baby shower gifts, wedding day gifts, birthday presents, or really any other time you receive a thoughtful gift. 

2. When someone introduces you to someone else.

If someone helps you connect with someone new, send them a thank you note to show your appreciation for their kindness. This is especially important for work networking. 

3. After you interview for a job.

Yes, send a handwritten thank-you note after a job interview. The handwritten note will help you stand out in a mass of interviewees.

However, according to an article by Molly Triffin on Interview Etiquette in Forbes , you should send a thank-you email to everyone you met in the interview process within twenty-four hours. Managers make quick decisions, and your written note might arrive after they have already made a hiring decision.

So, I suggest do both. Send a handwritten note and an email.

4. As an act of kindness.

When your mother comes and helps you pack up your house when you move from Minnesota to California. And then again five years later when you move from California to Pennsylvania.

Yes, even thank your mother. May no kindness go unthanked.

5. For a huge act of kindness.

When someone comes and cleans all your seven litter boxes without being asked, that is a truly generous gift deserving a thank you note. That hasn't happened yet. But if it does, I will mail a handwritten note.

6. For friendship.

Send a thank-you note to a dear friend because you want them to know how much their friendship means to you. You realize life is precious, and you don't want to get hit by a bus and not have them know you valued the friendship.

The Six Biggest Thank You Note Rules You Should Never Break

There are six unbreakable rules when writing thank-you notes:

1. Don't ask for anything.

Never, never, never in ten million years ask for something at the end of a thank-you note.

Thank you, and, oh by the way, can you do this for me _______________. This is a big NO will a capital N and a capital O. Here is an example of what not to do.

Dear Mr. Faraday, Thank you for introducing me to the President of your company. I appreciate your kindness in helping me meet Mr. Wise Sage. I have enclosed a copy of my manuscript. Will you please read it for me and give it to the editor in charge of acquisitions? Sincerely, Pat Asksfortoomuch

2. Don't tell the person you hated the gift and want to return it.

3. Don't send a printed form letter with your signature printed at the bottom.

4. Don't have your secretary write your thank-you cards for you and then you sign the note. I don't care if you are the President of the Company. Write your own notes. 

5. If you spell a word wrong, don't cross it out and keep writing. Get a new card and start again.

6. My husband said, “Don't use profanity.”

Dear Grandma, Thank you for the birthday money. I am using it to buy my favorite cat figurines. Every time I see them, I will think of you. I appreciate how you always make me feel special, not just on my special day. With deepest gratitude,  Nancy

However you choose to express your heartfelt messages, a handwritten note is the perfect way to leave a positive impression.

When teaching the thank you note, I always made my kids and my students use one sentence (or more) to say exactly why they liked the gift or gesture: Thank you for the museum tour I learned… or the most interesting part was … Thank you for the scarf. It matches perfectly with my new dress. Thank you for the wonderful dinner. It’s always fun to see the creative things you do with liver. Etc.

It seems quite common that people think, “That was nice,” but do not communicate it. Presumably imagining that other people are telepathic.

This happens even when it is in the other’s interest to say thank you. Even greedy and selfish people often do not say thank you or acknowledge. And they wonder why they don’t get a gift next time. Or don’t get any help next time they ask.

It is a strange phenomenon!

It makes me feel good to know that hand-written notes do not appertain to the past. Do they still teach school children how to write letters? I send hand-written Christmas, Easter and Birthday cards to family and close friends because I too, consider it to be a special way of communicating. I love receiving hand-written letters. When I see my address on the envelope I know who the letter is from because I recognize the writing. (These are a rarity now) I’ve treasured special cards and letters; re-reading them brings me close to the dear people who sent them to me. Sadly, many of my younger friends think that hand-written cards and letters are ‘old fashioned’ and that email is handy and ‘modern’. Now the only hand-written notes I receive are those on a Christmas or birthday gift.

Keeping in touch by phone, Skype, email is good, but writng those friendship, thank you, greeting notes are priceless. I can see your mailbox overflowing with notes after reading your post. Hugs, because you’re a friend, and because we both love cats.

Hello Lillian, It is special to get a letter in the mail. I can recognize my mother’s handwriting at fifty paces. You are right, a handwritten letter is priceless. I still have the letters my father wrote to me. And, I have letters from my grandmother to one of her friends. She died when my mother was three. An overflowing mailbox would be wonderful. I always, well, I think I always, send handwritten thank you notes/cards. I love picking out just the right card to match the person, whether it’s blank inside or not. While writing, I am reminded of how much that person has done for me. Most of my friends do not send written thank yous, even ones I send ones to for gifts, actions. I love writing letters, and my family and friends say they love to receive them (and say they miss them when I don’t write for a while), but I either don’t get a response back or only a one- or two-liner note!

I once gave a friend my five year old, fully-functional, low mileage, in great condition car. He finally, after about two months, gave me a thank you on a post it note! I helped, financially and in other ways, a niece get into college. She never sent a thank you, and actually quit after the first year!

I honestly don’t know if it’s my relatives and acquaintances, but more and more, I rarely get a written thank you. I now tend to give to strangers and organizations more often than to family and friends. I don’t expect a written thank you and don’t feel the loss.

Hello Alexandriete, Yes, feeling the loss. I know what you mean. And, it’s not as though a person is kind because they want to be thanked. But, not being thanked, even verbally, does feel like a loss. I am always grateful when someone takes the time to text me a thank-you. At least I know they got the gift. So a text would be like a piece of cake, and a thank-you note would be like getting the whole cake. Not hearing at all, would be like no cake. You sound like you have kind heart. I have written thank you notes for over 40 years and will continue to do so until I can no longer write . . . okay, let me clarify that by saying until no one is able to read my handwriting!! I feel very fortunate to have the need quite often to write a quick thank you note to a friend or acquaintance. I hope that need continues to arise!!

My grandma wrote thank-you notes until she was 100! Then she decided she was done writing notes (any kind of notes, not just thank-you notes).

I haven’t written a thank you note in a very long time – I know, I’m now on the naughty list – sorry, teacher, I’ll try to do better next time. 🙁

One of the keynote speakers at my son’s college graduation this year mentioned in his speech the importance of handwritten thank you’s (He was sharing how much others had helped him on his personal road to success). This to a graduating class of some 2000+ tech-savvy, instant messaging, face-booking, tweeting graduates with newly acquired BA’s and MA’s.

The keynote speaker at your son’s college graduation sounds very wise. Is your son home for Thanksgiving this year? Like today? Perhaps you and your son could sit down and write a few thank you notes today. And, if you don’t have any notecards, then just brainstorm today who you want to thank. Then tomorrow go shopping together for notecards and stamps. Have him write a thank you note to every professor and every person who invested in his life in college. I think you have more power to shape your son’s life by example than any keynote speaker from a podium. And, today, I am going to write a few thank you notes myself. I wish you all my best. I also write a thank you note to the hosts of a dinner party or any sort of party. I thank them for including me in whatever the occasion. I have step-great-grandchildren, ages 7 and 5 whom I’ve never met, that live in another state. I have sent them books as gifts for their birthdays and Christmas since their births. I have yet to receive a thank you or any acknowledgement that the gift had arrived from their parents or the children. Am I to assume the gifts are unappreciated?

Hello Judy, I love your photograph. You are very kind to write thank-you notes, it shows your kindness and your heart. And, it makes me sad that the gifts you send to your step-great-grandchildren are not even acknowledged. I seriously don’t understand why people can’t even call to say the gifts have arrived. Maybe they don’t have your phone number, or maybe they lost the package the gifts came in and don’t have your return address. Or maybe they take the gifts for granted. I think it is hard to not change the habit of gift giving based on the response. I don’t think we give gifts so we get a thank-you. When should I wrote a thank you note for help that is ongoing, but short-term? Various friends and family have been providing childcare while we deal with a family health issue. The whole experience will last about a month. Most of those who have already helped will provide the same assistance again over the next few weeks. Should I wait until the month is over or should I send notes right away? If the latter, should I send a second round of thank you notes at the end? Thanks for your guidance!

Sending a thank-you note after an interview, a networking event, an informational interview, or any other event related to your job search is a great way to show your professionalism. After you get hired, it is also a way to maintain contact with people you met during your job search.

Thank-you notes aren't just for job searching. Sending a written note, email, or LinkedIn message to people who have helped you on the job or have done something that will enhance your career is a good way to cement relationships and show your appreciation.

Send one. You should send a thank-you letter whenever someone helps you with your job search. For example, you should send thank-you notes after job interviews, internships, and informational interviews.

If someone did something nice or helpful at work, send them a thank-you email.

Consider the format. Some people send handwritten thank-you notes, and others send typed letters. Some formal organizations (like law and accounting firms) might prefer a traditional handwritten note. A handwritten note also allows you to give a personal touch to your message. However, most companies are fine with a typed letter. Think about the company culture when deciding the format of your letter.

Send it as soon as possible. You want to send your letter as soon as possible. This is especially important for an interview thank-you letter; you want to remind the interviewer that you are a strong candidate before he or she makes a decision. For this reason, you might choose to send a thank-you email instead of a note or typed letter.

You can also send an email and then follow up with a note.

Be concise. Keep the letter short—no longer than a page. You want to say thank you sincerely but briefly.

Sell yourself. If this is a thank-you letter for an interview, use the letter as a chance to remind the employer why you are an ideal candidate. Remind them of something you discussed in the interview, or provide some new information that you forgot to mention. This may be your last chance to make a strong impression.

Proofread. Be sure to thoroughly edit your letter. All your communications must look professional and polished.

Thank-you letter samples are a useful way to guide your writing. A sample can help you decide what kind of content you should include as well as how to format your letter. 

Thank-you letter templates can also be very useful. They help you with the layout of your letter, such as how to organize the different sections of your message.

While letter samples and templates are great starting points for your own message, you should always edit a message to fit your situation. A personalized letter or email will make the best impression.

There are guidelines you should follow for writing your letters, including standard length, margins, font, and format. Sending a properly formatted, grammatically correct letter or email message will leave the reader with the best impression.

Contact Information:  If you are sending a printed letter or note, list your contact information above the salutation. If you are sending an email thank-you message, list your contact information below your signature.

Salutation: In formal situations, start with, "Dear Mr./Ms. Last Name:" If it's more casual (to a peer, for example), it's appropriate to start with a less formal greeting.

​First Paragraph: Your first sentence should state that you are reaching out to thank the recipient for what they have provided you. In this first paragraph, you might include another sentence reiterating your thanks. For example, you can acknowledge that you know they are a busy person, and you are especially grateful that they took the time to help you. While your tone should come across as expressive and warm, avoid going overboard with effusive praises. Ultimately, you want to be sure your communication is genuine.

Second Paragraph: In your second paragraph, you can explain why you are so grateful and how their support has impacted you specifically, or how you anticipate it impacting you in the future. 

Be specific so that the reader knows this is a personal letter, rather than a generic one you've sent to multiple contacts.

Third (optional) Paragraph: Use your optional third paragraph as a way to maintain your relationship with this person going forward. If you feel like you have something to offer them in return, you could mention it in this paragraph. Alternatively, you could suggest that you'd love to treat them to a coffee or simply that you would like to stay in touch. Ultimately, you should tailor what you say to your relationship with the person, but the goal of this paragraph is to keep the door open to future communication.

​Finally, in your closing paragraph, reiterate your gratitude with a simple, short final sentence.

A special gift. A delicious, home-cooked meal. An extended stay at your friend's house . Let's face it: It's nice when people go out of their way to make you feel special. So what better way to express your gratitude than with a thank-you note?

Admittedly—in an era when social media, emails, and text messages are the preferred methods of communication—sending a handwritten letter feels a bit old-fashioned. In fact, thank-you notes have been traced back to as far as the 15th century. But the truth is, appreciating your loved ones (and good manners in general) will never go out of style.

To help bring the storied tradition to modern times, a few etiquette experts share everything you need to know about writing and sending thank-you notes.

Do you need to send handwritten thank-you notes?

We love snail mail as much as the next person, but writing out a formal letter, buying stamps, and popping it in the mailbox is a lot more difficult than sending a quick email from your phone. So can you text a thank you? The answer isn't always so cut and dry.

"Depending on the relationship you have with the recipient, a thank-you text or email is acceptable, especially if that'll be the next opportunity you speak with them," explains Bonnie Tsai, founder and director of Beyond Etiquette . "Also, when timing is crucial, you can send a quick text or email before mailing a handwritten thank-you note one to two days after."

For example, she says an electronic thank you is permissible if your friend treats you to lunch. You can also send your friend an email or text if you already speak with them two to three times a week. After all, it would be a little awkward if you carried on with another conversation if you didn't express your gratitude.

So when do you need to bust out the pen and paper? Tsai says a handwritten note is required for business interactions, dinner parties, gifts, or events where you are the guest of honor.

"If the occasion was purely social, but hosted by someone you conduct business with, be sure to address the thank-you note to both the host and their significant other," Tsai adds. "The more expensive the entertainment or occasion, the more necessary it is to write a personal thank-you note.

When should you send thank-you notes?

Not to stress you out or anything, but thank-you notes should be sent out pronto. "Thank-you notes should be sent immediately," says Nick Leighton, co-host of an etiquette podcast called Were You Raised by Wolves? "If you have to ask, it probably should have already been sent."

And contrary to popular belief, Leighton argues newlyweds do not have up to a year to send out thank-you cards for their wedding gifts. "Thank-you notes should be mailed out immediately," he says. "Even if that's before the wedding."

That said, Leighton acknowledges there are some exceptions to the rule — especially if time is of the essence.

"Email is OK for when timeliness is paramount; when you don't have their mailing address and can't obtain it; or when the kindness you're thanking someone for is on the smaller side, such as giving a few restaurant recommendations."

What should you write in a thank-you note?

Now, the million dollar question: What are you supposed to write in a thank-you note? The good news is that your letter doesn't have to be a modern-day masterpiece.

"The beauty of a thank-you note is in its simplicity. They don't need to be long unless warranted," says Lisa Lyons , an event planner who received the US delegate seat to the International Etiquette & Protocol Academy Of London for its Train the Trainer program.

To help, Lyons breaks down the perfect thank-you note into five easy steps.

Begin with a greeting

Depending on how well you know the recipient, you can use more casual greetings such as "hello" but I nearly always opt for "dear." If they are a married couple, be sure to address them both here.

Offer your thanks (and be specific)

If you are sending thanks for a gifted item, mention it specifically and, if applicable, how you have or plan to use the gift. If you are sending a thank you for money, "your generosity" is a lovely alternative. If you are sending thanks after an event, mention what a great time you had.

Add a personal comment or anecdote

Try and include a great memory of the evening or hopes to see each other again soon.

Sign politely

"With gratitude" and "cordially" are both classics.

Mail promptly

Timely thank-you notes are preferable however, the time frame is dictated by the occasion. Following a wedding, proper etiquette suggests sending thank-you notes within one year, but sooner is always better. After attending a dinner party, however, it's best to send your note within one week.

How should you word your thank-you?

To draft a great thank-you note, etiquette experts Catherine Newman and Diane Gottsman compiled a few thank-you note examples you can easily personalize for any occasion:

Thank-you note wording for gifts

As a template, try constructing your thank-you note for a gift with, "Thank you for the [insert gift here]. I am looking forward to using it [describe action or appropriate time you will use it]."

Other thank-you note examples:

  • "Thank you for the cookware. It is just what I need to make your famous Italian sauce. I plan to use your recipe very soon."
  • "Thank you so much for the beautiful silver picture frame. I have the perfect picture to put in it and the perfect shelf to put it on."
  • "Oh my goodness, a BMW! You are the best grandparents ever!" (It's more challenging, but still totally doable, with something less wonderful, like a scratchy sweater, Newman assures).

Thank-you note wording for money

When crafting a thank-you message for a monetary gift, don't mention how much money they gave you, warns Gottsman, a national etiquette expert, author of Modern Etiquette for a Better Life , and founder of The Protocol School of Texas. Use the following template for a thank-you note about receiving money: "Thank you so much for the gift. I am planning to [mention an activity, project, or product you are hoping to buy] and your generosity will certainly help me [the result of the activity, project, or product purchase]."

  • "There's a really great robotics kit I've had my eye on."
  • "As you know, I'm saving up for a car, so I'm going to put this right in the bank."
  • "We are saving to put a deposit down on a new apartment and your generosity has helped us immensely. I can't wait to host you for dinner soon—possibly in our new apartment!"

Thank-you wording for acts of support

This template will help when writing a note to someone who has helped support you: "Thank you for [act of kindness]. I am so grateful to have you as a [relationship]."

  • "Your visit to the hospital lifted my spirits. I am feeling much better and wanted to let you know how much I appreciate your support."
  • "To say you are always there when I need you would be an understatement. I want you to know how much I appreciate your support during this difficult time. It has made the transition easier."
  • "Thank you for checking in on me. I will never forget your kindness and hope to do the same for you one day."

Now that you know the basics, go out and stock up on thank-you notes. You'll be happy to have them on hand when the need arises.

Thank you note wording for wedding guests

Thank you notes are an important way to show your appreciation to everyone who attended your wedding day or helped you celebrate somehow.

For guests who attended the wedding, be sure to emphasize your gratitude for them sharing the day with you. Try wording like this: " Thank you so much for celebrating our wedding day with us. We were so glad to have you by our sides on our special day. "

For guests who guests who attended and gave a gift or money, be sure to also include a thank you message for their generosity, following the wording suggestions provided above.

And for guests who were unable to attend the wedding but still sent a gift or money, make sure to send them a thank you note as well. Try wording it like this: " Thank you so much for [the gift or money]. [Mention how you will use the gift or money.] We missed you at the wedding but we hope to see you soon. "

The handwritten thank-you note speaks volumes simply as a medium and sends the message that you care enough to invest yourself personally in acknowledging another.

Handwritten notes still have a personality, warmth and, when needed, gravitas that computer screens don't. And questions of appropriateness aside, people still enjoy opening them. More than anything, that tells me they have lasting value. So, send a little joy someone's way.

How to Write a Thank You Note

Sometimes it's easy to write off a heartfelt thank-you note. Other times, writer's block can set in—especially when you are staring down a large stack of them. Before you start, remember that thanking people needs to be about just that: expressing thanks. So refocus, reorganize, and rethink the process.

Above all, try to enjoy yourself. Giving thanks shouldn’t be a chore—and doesn’t have to be if you make the effort to keep it interesting.

This is a brief note, about four sentences, meant to express something you are grateful for. Be sure to say what you mean directly. The thank-you note is special; it's to express your appreciation, so keep the focus there.

  • Formal/Professional – Dear {{title}} {{last_Name}},
  • Professional – Dear {{first_Name}} {{last_Name}},
  • Close Professional/Social – Dear {{first_Name}},
  • Social – Dearest {{first_Name}},
  • Good friend – First name, Nickname, or Initials
  • I am so thankful/grateful for...
  • I want to say how much I appreciated...
  • I am writing this note to acknowledge...
  • I want you to know how much I value...
  • Second Sentence – Personalize the note with an original thought about the things you are thanking for, the effort or thought behind it, what it means to you and the relationship.
  • Third sentence (optional) – Pull the focus back and think about the future. Suggest future actions or direction or develop the thought from sentence two.
  • Fourth sentence – repeat the thanks or offer a concluding thought.
  • Formal/Professional/Social – Sincerely
  • Professional/Social – Best regards, Regards, All the best, Best, Respectfully yours, Cordially
  • Social/Personal – Yours truly, Warmly, Affectionately yours, With great affection, With love, etc.

Sure, it sounds like a dream: Your children running up to you and begging to write thank-you notes to their aunts, uncles, and cousin Pete. It could be a reality—if you cut out the obligation and play up the gratitude. A handwritten card or note of thanks is one of the most heartfelt and meaningful ways to express gratitude. Maybe you can’t repay your recipient for the nice thing he or she has done, but you can reflect the thoughtfulness with the time and care you put into writing and sending a warm, gracious thank-you card or note.

Simple Thank-You Messages  

If you’ve chosen a card with a printed sentiment (more than just “Thank You”), then you don’t have to add very much. Briefly mention the specific gift or kindness you’re thanking the recipient for. Then add a warm thought like one of these…

  • “You’re the best.”
  • “I’m humbled and grateful.”
  • “You knocked me off my feet!”
  • “My heart is still smiling.”
  • “Your thoughtfulness is a gift I will always treasure.”
  • “Sometimes the simplest things mean the most.”
  • “The banana bread was fabulous. You made my day.”
  • “I’m touched beyond words.”
  • “All I can say is wow! (Except, of course, I’m grateful.)”
  • “My heart just keeps thanking you and thanking you.”
  • “You’re a blessing to me.”
  • “Thank you for being my angel.”

Writing tip: Sign and send your thank-you card while the gift or event is still fresh in your mind. Within three days is ideal, but in most situations a “thanks” will be appreciated no matter how late it arrives.

Thank-You Messages for a Gift  

Birthday, holiday and just because.

Here are some questions you could try to answer when writing a thank-you for a birthday , holiday or just-because gift: What was the gift? What do you like about it? Why was it a good choice for you? What do you plan to do with it? How did you feel when you opened it? How did it make you feel about the giver? Below are some message examples that answer one or several of those questions.

  • “Thank you for the bling hanger for my marathon medals. You know me so well!”
  • “I love the milk-glass vase. I’ll think of you every time I see it on my table.”
  • “Thank you for the fun and funky purse. I don’t know where you find such unique things!”
  • “The table runner you sent for my birthday is perfect! I can tell you spent a lot of time picking it out, and it makes me smile to think about how thoughtful you are.”
  • “I was so thrilled when I opened the new hiking boots. You knew exactly what I wanted.”
  • “Thank you so much for the new alarm clock. I’d been needing one, and the one you chose is perfect to use with my phone!”
  • “Bless your big and generous heart!”

Writing tip: Here are a few words to describe gifts: fabulous, perfect, touching, beautiful, unique, appreciated, awesome and much-needed. Some words to describe gift givers: generous, thoughtful, creative, sweet, considerate and caring.

Graduation, wedding, baby and other life events

The challenging thing about these life-event thank-you notes is that you likely have several of them to write. It’s fine to develop a general formula for what you’ll write, but anytime the task starts to become burdensome, put down your pen and come back to it later. You want to sound appreciative and enthusiastic, and you’re more likely to come across that way if you write five thank-you cards a day over 10 days, rather than 50 all at once.

  • “Wow! We are so touched by your generous wedding gift. The place settings will be used and enjoyed often—and we’ll think of you every time.”
  • “Thank you for adding to the joy of our wedding with your warm wishes and thoughtful gift. We love the candlesticks and how they look on our hall table.”
  • “Thank you for the adorable fire engine sleeper and bib for Ben. You put a smile in our hearts. Can’t wait to send you a picture of him wearing it!”
  • “From the bottom of my heart, thank you for organizing the group gift of the car seat and stroller for my baby shower. You shouldn’t have. (But it’s so nice you did!)”
  • “Thank you for the e-reader! I’m already using it and loving it. I really appreciate you thinking of me on my graduation.”
  • “I so appreciate your thoughtful graduation gift to me. The watch is beautiful, and it almost makes me look like a real grown-up when I wear it 😉 Thank you so much. You’re the best!”

Some things never go out of style. Sending a thank-you card in a  timely fashion is one of them. Say “thanks” in minutes with a Hallmark Personalized Card !

Writing tip: You get a little more time to write thank-you cards for graduation , wedding , shower and baby gifts. You’re not hard to buy for—you’re easy to love because you write such a nice thank-you when someone gives you money or a gift card! Here are some ways to make a giver feel great about choosing that option for you.

  • “Thank you for the generous gift card to REI! It will be such a big help in getting ready for my big camping trip. It’s much appreciated.”
  • “Thank you for the birthday $5! You’d be surprised at how happy this little tradition of ours always makes me. Burger and fries, here I come!”
  • “I just used the birthday money you sent toward a new power sander. I’m really excited to start using it. Thanks so much for making it happen!”
  • “Just wanted to say a big THANK YOU for the coffee shop gift card. Do you know me or what?”
  • “Thank you for your thoughtful and generous gift. I haven’t decided how I’ll use it yet, but I wanted you to know how happy and grateful I am.”

Writing tip: There’s no hard-and-fast rule on whether to mention the specific amount of money you were given in your thank-you message. If it feels tacky or wrong to you, then skip it. But if you feel like it highlights or helps identify the gift, it’s perfectly fine to include.

Thank-You Messages for Help  

House or pet sitting, yard work or housework, help during a busy or difficult time, above-and-beyond assistance with a project at work… anytime someone steps in and makes your life a little easier, call it out with a thank-you note.

More general examples

  • “This has been a challenging time, and I appreciate you so much.”
  • “You have no idea how much your help has meant.”
  • “For all the little and big ways you’ve pitched in…thanks!”
  • “There was nothing random about your acts of kindness. Thank you for all you have done.”
  • “I can never thank you enough. But this is a start.”
  • “You always know how to make life brighter for everyone you know.”
  • “I can’t possibly repay you.”
  • “You are always so helpful.”
  • “You make the world a nicer place.”
  • “You went above and beyond, and I am touched and grateful.”
  • “You took common courtesy to an uncommon level. We’re so grateful for your help.”

More specific examples

  • “Thank you for taking care of the lawn while Kevin was in the hospital. I don’t know what I would’ve done without you.”
  • “For my burden-bearing, laughter-sharing, forever-caring friend…a very happy, hug-filled, heartfelt thanks.”
  • “The best way to thank you for your work on my project is to keep you informed of the outcome—and I promise to do that. Meanwhile, you have played such an important part and your help won’t be forgotten.”
  • “It’s harder and harder these days to get the number of volunteers we need—but you made time in your busy schedule to step up. That means even more as every year gets busier.”
  • “I’m using you as an example to my kids of someone unselfish, giving and ready with a can-do spirit. I hope they turn out just like you.”
  • “Thank you for the wonderful meals you brought and arranged during Emily’s bed rest. Our hearts have been deeply touched by your kindness.”

Writing tip: If writing a thank-you takes you back to high school and turns your writing awkwardly stiff or formal, then relax and try to write like you speak. If you’re a person who would say, “Thanks so much for watching our dog!” then say, “Thanks so much for watching our dog!” Just exactly like that.

Thank-You Messages for Hospitality  

When someone opens his or her home to you for a meal, a party or an overnight stay, that definitely calls for a written thank-you.

  • “A big thank-you to you both for letting me crash at your place (again) during the conference. You always make me feel just like family.”
  • “Thanks for the great time…and the great memories.”
  • “Thank you so much for hosting my shower. I felt like a total VIP.”
  • “My heartfelt thanks to you for opening your home to me during my visit. I loved every minute of my stay.”
  • “What a great party! You really know how to make good times happen. Thank you for letting me be part of it.”
  • “Thank you for a lovely evening filled with laughter and good conversation. I’m still smiling.”
  • “Thank you for the unforgettable meal. You’re incredible.”
  • “Your home is so warm, welcoming and delightful. I felt so pampered.”
  • “I didn’t want to leave. Don’t let that scare you—I promise not to show up all packed and ready to move in. It’s tempting, though.”
  • “You spoiled me rotten! The delicious food. The comfy bed. The company. The fun. Thanks for everything!”
  • “I felt like Goldilocks. Everything was JUST RIGHT.”

Writing tip: Thank-you advice from a longtime Hallmark writer: “I think about what has touched me in the notes I’ve received from people. I try to just let my heart speak and not worry that I’m being ‘gushy’ or ‘over the top.’ When you’re sincere, I don’t think you can be.”

Professional Relationship Thank-You Messages  

It’s good business to send a handwritten thank-you note for the courtesy of an interview, for referrals or opportunities, for above-and-beyond work done for you, for mentoring and many other professional situations. After an interview, a gracious thank-you card can distinguish one candidate from another. More generally, it makes the sender memorable, leaving a positive impression and paving the way for a lasting business relationship.

  • “Thank you so much for inviting me to interview for your open account specialist position. I truly appreciate the time you took to talk with me about this opportunity and the company. I enjoyed learning more about your work group and how I might fit into that team. Please don’t hesitate to contact me with any follow-up questions you might have. I hope to talk with you again soon.”
  • “Thank you for your invaluable mentoring these past three months. I’ve had fun getting to know you better, and I’ve learned so much from talking with you and seeing how you work. You are amazing at what you do! I’m grateful to have had the chance to work with you so closely.”
  • “I can’t thank you enough for advising me to send my résumé to your colleague Dana Evans. I now have an interview scheduled with her next week to discuss some freelance work, and I’m really excited about the assignment she’s describing. It was very kind of you to refer me to her. I hope I can find a way to return the favor soon!”

How to Write a Professional Thank-You Email

I n a competitive job market, every little detail counts. So, while a thank-you email may seem like a small gesture, a well-written one can set you apart from the sea of competition and showcase your interest in the position.

Crafting the perfect email can be tricky. But don’t worry. We’ll guide you through the essentials of writing a professional thank-you note to help you leave a lasting impression on your potential employer.

Why Send a Thank-You Email?

  • Being polite is a professional superpower. A recent survey by Zety found that conscientiousness and agreeableness are the two top qualities employers look for in potential new hires and job candidates. To demonstrate your thoughtfulness, good manners and ability to follow up, always send a thank-you letter after any interaction during the hiring process.
  • Demonstrated interest. Given the volume of applications and interviews hiring managers have to sift through to find their ideal hire, sending a thank-you letter helps you stand out from the crowd and showcase your genuine interest in the company. Certified career and resume strategist Victoria Morneau recommends sending a thank-you note even if you've been rejected for the job, as circumstances can change, and you might still be considered for future opportunities. “Back when I interviewed for my first real job upon graduating post-secondary, I was told I was the only candidate to send a thank-you note. Needless to say, I was hired.”

When Should a Thank-You Letter Be Sent?

The general rule of thumb is to send a thank-you letter to everyone you've interacted with during the hiring process. This means not just the interviewer from the first round but also those who participated in subsequent rounds – even if you've already met and thanked them before.

To ensure that the person receives your thank-you letter while the interview is still fresh in their memory, Morneau says it’s best to “send a thank-you email within 24 hours of the interview, during office hours (8 a.m. to 4 p.m.).”

And if you haven't heard back from your desired company after a week, it may be appropriate to check in on the hiring process. Beyond that, she advises that you refrain from further follow-ups. “I once dealt with a candidate who kept pushing and pushing for more information on why they weren't hired. I think it's appropriate to ask for constructive feedback, but after that, you need to know when it's time to move on.”

What to Include in a Thank-You Email

Here are five elements to include in your thank-you emails:

  • Conversation reminder. Joseph Liu, career change consultant and host of the "Career Relaunch" podcast, says, “For example, you could include one key learning, a memorable takeaway or a reminder of why you’re excited about the role.” By mentioning specific points from the interview, you demonstrate your engagement and attentiveness to the discussion. 
  • Your gratitude. In a few sentences, thank the interviewers for their time and for allowing you to interview for the role. While this may seem obvious, Liu says it’s important to explicitly include the words "thank you" in the email. 
  • The value you could provide. Ideally, you want to demonstrate your ability to add value to the company. To do so, Liu says you could “build on an idea you discussed, share a resource or even offer to introduce the interviewer to a helpful contact.” However, don't stress too much if you're struggling to come up with something valuable to share. It's better to skip this step than to force something into your email that feels inauthentic or forced. 
  • Your interest in the company. In the thank-you email, reiterate why you’re interested in the role and why you’re the right person for it. For example, you could explain how your current skills transfer to the position you interviewed for. 
  • Next steps. Following an interview, Liu says you should send a thank-you email “explicitly stating you hope the hiring manager will give you the opportunity to progress to the next round of interviews.” And if you don’t hear back from the company after a week, send a follow-up email to show your eagerness to pursue this opportunity.

Thank-You Email After an Interview:

A thank-you email is a customary gesture that speaks volumes about your character. So, regardless of how you fared in your first round of interviews, always send a thank-you email within 24 hours. Doing so shows the hiring team you appreciate the opportunity and highlights your professionalism and interest in the position.

Here are two templates to help craft your thank-you emails after an interview:

“Dear Miss Adams, 

It was a pleasure meeting you today at X Company. I genuinely appreciate you taking the time out of your hectic schedule to introduce yourself and hear about my qualifications. Your question on A was excellent, as it allowed me to explore the topic of B with you.

After our meeting, I took some time to reflect upon our conversations, and it dawned on me that while responding to your question on C, I failed to elaborate on D. I believe that providing you with this additional information will help your assessment of my candidacy.

Finally, I hope my background and experience in A, B and C will help demonstrate my ability to offer unparalleled value to your company.

Thank you once again for your valuable time and consideration. Please don't hesitate to contact me if I can provide any other information that will help to make an appropriate evaluation of my candidacy."

Professional Email for a Status Update:

In most cases, you should hear back from the company within one week (two weeks max) after the first round of interviews. Unless the hiring team has specifically informed you that it’ll take longer, consider sending a follow-up email to check the status. Here’s what it could look like:

“Hi Mary, 

I really enjoyed meeting with you on (insert date) and wanted to express my gratitude for the opportunity to discuss my qualifications and skills for the position of (insert job title).

As you know, I’m very interested in becoming a part of (insert company name), and I’m both excited and eager to potentially join your team. I understand that the selection process can take time, and I would like to follow up with you on the status of my application.

May I kindly ask if there are any updates on the position I applied for? It would be helpful if you could give me a rough timeline for when I can expect to hear back from you.

Again, thank you so much for your consideration. I hope to hear from you soon."

Check Your Work

Your thank-you email shows the hiring manager how you communicate, so double-check it and ensure the spelling and grammar are correct. Loren Margolis, certified career coach and founder of TLS Leaders, says it’s also important to “match the tone of your thank-you emails to the tone of the organization.” For example, if the company has a formal culture, start your greeting with “Dear (name)” or “Hello (name)” instead of “Hey (name).” But if it’s a more casual startup, using “Dear (name)” may make you appear too formal.

Also, remember that some hiring managers might share notes with other team members, so don’t forget to customize your emails based on the person's title, department and interests to avoid looking like you’ve copied and pasted the same message multiple times.
